Job Role - Head of Operations  

 

Responsible to – CEO

 

Responsible for: Management team and staff.

 

Hours of Work – 37.5 hours per week

 

Salary – £35,000

 

Annual leave – 28 days with 8 Bank Holidays.

 

 

Who we are. 

We are a small charity based in the Dudley Borough, called The Connect Project (Top Church Training). We have been delivering projects and providing activities for 25 years.

What we do.

We provide an array of holistic support to people and families, who are considered to be the most vulnerable and disadvantaged in society and our local communities. Activities include 1-2-1 mentoring support, volunteering opportunities and group activities as we work with individuals to overcome their many barriers helping build their confidence and self-esteem to reach their full potential.

 

Our volunteering opportunities within our community café, Harrys, and allotment projects have expanded widely and encourage a diverse mix of people, ages, backgrounds, and disabilities who are keen to come along and gain new skills. We now have new opportunities that our volunteers can chose to engage with which accommodates their needs and abilities.

The Role: 

We are looking for a Head of Operations to join our team, someone with operational experience within the charity sector, who is approachable, enthusiastic, and passionate about working and supporting people. 

To be successful in this role, you will need to be an experienced candidate with a sound understanding of operational management and feel comfortable carrying out the duties listed within the role description.

The successful candidate will work closely with the CEO and Management team, to demonstrate our passion for the charities aims and objectives, putting people at the heart of everything that we do and to achieve overall success through operational excellence. 

This role is ideal for a candidate who enjoys variety and doesn't mind turning their hand to ad-hoc duties as they come and is excited by the prosect of a diverse role. 

As the successful candidate you will be responsible for the day-to-day operational duties within the organisation, the management of the team and monitoring and reviewing organisational contracts whilst working towards set targets and outcomes.

We are looking for someone who can demonstrate:  

  • Excellent communication and interpersonal skills

  • Excellent knowledge and experience around Safeguarding children and vulnerable adults.

  • Experience and knowledge around Health & Safety and conducting risk assessments.

  • Excellent IT skills and knowledge of using 365 Microsoft Office, CRM systems and The Outcome Star.

  • Strong organisational and time management skills

  • Decision making skills.

  • Ability to use their initiative around new project ideas

  • Strong leadership and motivating skills including the ability to build strong relationships with staff, volunteers, partners and stakeholders.

  • Financial, budgeting skills

  • Ability to use social media sites, eg: websites, Facebook, Instagram.

Leading and motivating the team. 

  • Develop, direct and manage the team, looking at success on planning, personal development and performance targets. Conduct 1-2-1 supervisions and annual appraisals. 

  • Set team and individual objectives that are aligned to the organisational objectives and ensure these are regularly reviewed.

  • Coordinate and prioritise the work for the project team, creating and managing annual plans. 

  • Identify and implement relevant training courses in line with staff personal development plans.

  • Implement Safeguarding training to all staff, introducing refresher courses as and when required.

  • Responsible for the recruitment and induction of new staff team members.

Leadership and Management

  • Work with the CEO to deliver effective leadership of TCT's management colleagues and staff.

  • Ensure all management colleagues are effectively performance managed (KPI's) and have appropriate resources to achieve excellence in their field.

Budget and Finance performance

  • Support the CEO to oversee set finance processes and sector benchmarking to forecast new trends. 

  • Carefully monitor project budgets as set by the CEO

​

Governance and Regulation 

  • Support the CEO to actively participate in the governance of TCT looking at quality monitoring and strategic performance.

  • Provide monthly performance reports to the CEO and any project reports as required

Partnerships 

  • Actively network across TCT's operational area and beyond to harness support for the organisation.

  • Identify new opportunities for partnership working, including mergers and acquisitions.

 

Stakeholder Engagement.

  • Develop, maintain, and deliver key stakeholder and strategic partnerships plan that supports the future sustainability of TCT.

Safeguarding 

  • TCT has a legal and moral responsibility to provide a duty of care for children and vulnerable adults and implement procedures to safeguard their wellbeing and protect them from abuse.

  • As Head of Operations, you will be responsible to oversee the delivery of the Child Protection and Adult Safeguarding polices and ensure that staff adhere to the policies set.  

  • As Head of Operations, you will be responsible to oversee all safeguarding training and ensure that all staff are adequately trained.

Health & Safety

  • As Head of Operations, you have a responsibility to abide by all the safety practices and codes provided by TCT and have an equal responsibility with the CEO for maintaining safe working practices for the health and safety of yourself and others.

  • All employees must comply with the TCT Health & Safety policy. All employees must attend Health & Safety training as required within their teams or as directed by their Line Managers.

  • All employees must adhere to their duties under the Health & Safety at Work Act 1974 and other associated safety legislation. In addition, employees must comply with TCT's policies relating to Health & Safety and Risk Management to secure a safe workplace and will draw management's attention to any deficiencies and/or hazards, which might prove detrimental to themselves or others.
